Job Description

This educational entity is recruiting a School Secretary for a 2-month maternity contract fill in position. The successful candidate must have previously worked for an educational entity in a secretarial capacity and must be available immediately. This position is based in Honeydew, Johannesburg.

Key Performance Indicators (KPI’s) of the job: School Secretary

·Being the main contact for parents, visitorsnand pupils;

·Greeting visitors and providingnrefreshments;

·Using IT systems to run financialnreports and produce newsletters;

·Keeping paper and electronic recordsnup to date;

·Using reprographic equipment;

·Orderingnand purchasing resources, recording invoices and food.

 

Tasks:  

·Parent newsletters to be emailed to parents on thendistribution list, which must be kept up to date

·Staff newsletters as required

·Letters, phone calls and emails as required bynHeadmistress/Managing Director

·Update stationery list

·Update parent information

·Send invitations to functions, record acceptances andnapologies as necessary

·Screen telephone calls that are directed for the headmistress

·Welcome visitors to the Heads’ office and assist themnas required

·Respond to emails andnletters etc.

 ·Prepare agendas, take minutes and send out to membersntimeously

·Send out reminders of meetings

·Send out to staff reminders of upcoming weekend events

·Book venues for meetings

·Arrange catering and refreshments where necessary

·Assist with walk-in finance enquiries

·Assist when called upon to call parents for the collectionnof fees

·Create expense reports

·      Track budget spending

 ·Assist at functions: Sports Days, Parent evenings,ncommunity events, launches, etc.

·Book venues; equipment

·Logging calls for internet issues

·Filing policies, circulars, memos and minutes ofnmeetings

·Printing of reports

·Printing

·Updating the Master List

·Support OHS as needed

·Enrolments of new students

·Report maintenance issues

·Track staff absence/ leave

·Track student absence
